Final paper submission

If you submitted an accepted IEEE PES Transactions Paper, you do not need to do anything more.

If you submitted a Regular/Student paper, and it has been accepted, comments made by the reviewers are included at the bottom of the acceptance email. Please, consider these carefully when preparing the final manuscript.

We would like to ask you to check the following details before uploading your final paper. Please, note that you must still follow the procedure outlined below:

Preparation of a Formatted Conference Paper for IEEE PES

THESE GUIDELINES MUST BE FOLLOWED to ensure your paper is suitable for upload to IEEE Xplore following the conference. Failure to follow the template may result in your paper not being published in IEEE Xplore.

  1. Ensure the paper must strictly follow the “Part 4b: Preparation of a Formatted Conference Paper for IEEE PES” instructions.
  2. You can find free Word and LaTeX templates and PDF instructions here.
  3. Add the copyright notice to the bottom of the first page of your source document, following these instructions:
    1. For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
    2. For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-6654-3597-0/21/$31.00 ©2021 Crown
    3. For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-3597-0/21/$31.00 ©2021 European Union
    4. For all other papers the copyright notice is: 978-1-6654-3597-0/21/$31.00 ©2021 IEEE
      • Tip for Word Users
        The copyright notice should appear in a different foot-note than the one used to indicate possible sponsors of the research. Please, check the general template for IEEE Conferences here, where you can see its position as an isolated text at the bottom.
      • Tip for adding the copyright notice in LaTeX
        If you are preparing your paper in LaTeX and you are using the IEEEtran document class, the following instructions can help you to add the copyright notice to appear about 1 cm below the left column of the first page, and to be aligned to the left with the same left margin as the column :
        • Add the following code before the \maketitle command:
          • \IEEEoverridecommandlockouts
          • \IEEEpubid{\makebox[\columnwidth]{978-1-6654-3597-0/21/\$31.00~\copyright2021 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}
        • Add the following code after the \maketitle command:
          • \IEEEpubidadjcol
        • Make sure you use the appropriate IEEE copyright notice string, as explained above.
  4. Proofread your source document thoroughly to confirm that it will require no revision.
  5. Generate the paper in PDF format and then validate it using IEEE PDF eXpress.
  6. Log in to the IEEE PDF eXpress™ site
    1. First-time users should do the following:
      1. Select the Create account link.
      2. Enter the following:
        • 46648X for the Conference ID
        • Your email address
        • A password
      3. Continue to enter information as prompted.

      An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup. Please, check your inbox or junk mail.

    2. Previous users of PDF eXpress need to follow the above steps but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
  7. Introduce the required information and click on Dashboard. Follow the instructions to validate the PDF file of the paper and wait the result of the compliance analysis.
Uploading the final paper and the IEEE Copyright form in OpenConf

Once that the PDF eXpress procedure has been completed successfully, you should have a pdf version of your paper that contains the copyright code notice at the bottom of the first page, and that is compliant with IEEE Xplore. Please complete the following steps no later than April 15th, 2021:

  1. Visit the OpenConf submission site.
  2. Click Edit Submission and fill ORCID and Student fields for ALL authors. In case your title/author list has been changed, you can update it now.
  3. Click Upload File and use your previous submission ID and password to upload your IEEE PDF eXpress validated file.
  4. Click Submit Copyright to complete the IEEE Copyright Form. Use your previous submission ID and password.
  5. If you do not receive any notification e-mail after the final manuscript submission, please check the uploaded file by using the View File link on the OpenConf submission page.

Conference Registration

At least, one author of each Conference paper or Transaction’s paper accepted for presentation must register for the meeting.

Conference papers, or Transaction’s paper abstracts, will not be released for publication in the IEEE PowerTech 2021 Proceedings or scheduled for presentation unless the fee is paid. The corresponding registration fee must be paid by the early-bird deadline of May 31st, 2021.

IEEE reserves the right to exclude a paper from distribution after the conference, including IEEE Xplore® Digital Library, if the paper is not presented by the author at the conference.
